The receptionist position greets callers, appropriately directs them, and performs a variety of general office or administrative duties.

The Administrative Assistant I position is a basic entry-level support services position whose work routine is standardized and follows an established set of procedures. It generally functions under close supervisory direction or guidance.


Responsibilities

  • Greets callers and assists them in making contact with the proper person or area.
  • Answers a wide range of inquiries made by the public.
  • Sorts incoming mail for distribution and dispatches outgoing mail. Sorts mail according to destination and type such as a particular site or area.
  • Examines outgoing mail for proper address and postage and seal envelopes. Stamps outgoing mail by hand or postage meter. Weighs mail to determine that postage is correct.
  • Performs such standard office duties such as the production of general office written or electronic correspondence. May type memos, correspondence, reports, and other documents using word processing equipment. Performs variety of general office duties.
  • Provide basic employment information to job applicants. Will distribute, collect, and forward employment application forms. Will assist in the recruitment of applicants for NANA employment.
  • Periodically produce updated phone directories for internal use.
  • Records and distribute phone messages as well as maintain a list of callers’ names, time of call, nature of business, and person called upon.
  • Helps others with overflow work or special projects.
  • Other related duties as assigned by supervisor.

Qualifications

  • A high school diploma (or GED).
  • Some general office support training or experience that, in the opinion of the hiring supervisor, evidences the potential for future success in this type of position. Hiring preference will be given to those candidates with six months of directly related high public contact experience.
  • Sufficient language skills to read and comprehend simple instructions, short correspondence, and memos, write simple correspondence, and effectively present information in one-on-one and small group situations to customers, clients, and other employees.
  • Sufficient mathematical skills to add and subtract two-digit numbers and to multiply and divide with 10s and 100s using units of American money and weight measurement while handling postage matters.
  • Sufficient reasoning abilities to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. It also requires the ability to deal with problems involving a few concrete variables in standardized situations.
  • Observance of a level of personal hygiene/appearance that meets generally accepted social standards.

Language Skills:

  • Read and comprehend simple instructions, short correspondence, and memos.
  • Write simple correspondence.
  • Effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Math skills:

  • Add and subtract two-digit numbers and to multiply and divide with 10s and 100s and to perform these operations using units of American money and weight measurement.
  • Reasoning Abilities.
  • Apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
  • Deal with problems involving a few concrete variables in standardized situations.
  • The employee is regularly required to sit and use hands and fingers to operate a keyboard and telephone console. The employee is occasionally required to reach with hands and arms. The employee must occasionally lift and/or move up to 40 pounds.
  • Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and the ability to adjust focus. The work environment is a general office/receptionist setting and is usually quiet.
